Freelancer Onboarding

Welcome to Offsite Productions! We are excited to have you working with us.

Paperwork

  • On or before your first day, please fill out and sign the following paperwork and return to this link

Office

  • Desktop pw is either “P” or “PPPP”
  • WiFi name: Offsite / Password: hellyeah

Slack

  • We use Slack to communicate and share information internally.
  • Please let Abi know your preferred email to connect with Slack, she will set you up with an account and access to the channels relevant to your particular projects.
  • Project channels should be used for sharing info from the client, files relevant to the project, and big picture information. Smaller details can be worked out in threads or direct messages between relevant parties.

Server

  • We work off of a shared server.
  • All desktops in the office should be already connected to the server. If you need to reconnect:
    • Open a finder window
    • On the menu bar at the top of the screen, click “Go” -> “Connect to Server…”
    • In the popup there should only be one IP address highlighted, hit “Connect”.
    • You are now connected to the server
    • If you encounter additional server connection issues, ask Abi or Tom to troubleshoot.
  • When you delete something off the server IT IS GONE FOR GOOD. Please be careful about trashing files, and if you are not 100% sure about deleting something put it in a “+archive” folder within the folder it was already in.

File Structure

  • Each job on the server has an assigned job number, sorted by client and going from oldest to most recent. If you are starting on a new project and the folder does not already exist, Abi can give you the job # before you create a new folder.
  • We keep a standard file structure for jobs on our server. The order of these folders can vary from project to project, but “+From Client”, “98 Renders for Edit” and “99 Exports” should always stay the same:
    • +From Client
      • dated folders for files from the client
    • 01 Footage
    • 02 Premiere
      • +archive
    • 03 AE
      • +archive
    • 04 Music
    • 05 Audio
    • 06 GFX
    • 07 Stills
    • 98 Renders for Edit
      • dated folders for renders
    • 99 Exports
      • dated folders for exports
  • When making exports or renders, place them in a dated folder within the renders or export folder.
    • Dated folders should be labeled MMDD, e.g.: March 20th would be 0320
  • Project files should be numbered and versioned regularly. e.g.: ProjectName_01.prproj
    • keep older versions in a “+archive” folder alongside the latest version after creating a new version
  • Project files should have an internal folder structure similar to the file structure on our server. This can vary from project to project, but “99 Sequences” or “99 Comps” should always be the same

  • Sequences or Comps should be numbered and versioned regularly. e.g.: ProjectName_VideoName_01
    • Keep older versions in a “+archive” folder after creating a new version
    • Alternate versions of sequences or comps should be labeled alphabetically (and descriptively if needed). e.g.: ProjectName_VideoName_verA_NoText_01
    • When exporting files to share with a client, please change the version number to the date before uploading the files. e.g.: ProjectName_VideoName_01.mp4 would be exported and the name would change to ProjectName_VideoName_0320.mp4 before uploading to share.

Creative Cloud

  • If you are prompted to log into Adobe Creative Cloud when opening an Adobe application, please ask Abi for assistance
  • (NOTE for ALEX: I can update this with more detailed info once we are back in the office, but log in info for each computer is different so I want to inventory what computer uses which log in. I had assigned log ins for each station, but thats all been thrown out of wack since we have been working from home)

Frame.io

  • We use app.frame.io to review with clients (and sometimes internally)
  • Find or create the project on the left sidebar and upload to dated folders within that project.
  • Be sure not to add to or version in a folder that has already been shared with a client. If unsure, create a new folder to upload to.

Dropbox

  • We use the dropbox desktop app to send deliverables and to share files with non-local parties.
